Our Wedding Inspiration Mood Board – What to Email Vendors When Wedding Planning to Organize a Bride’s Vision

It has been almost 6 months since our wedding in May of 2021 and I am still scrolling through old photos to relive the day. The happy memories we made with our loved ones still fills me with so much joy that I can’t stop smiling thinking about it.

After reflecting on our big day, I must say, the thing that made it so smooth and perfect was having a wonderful team of vendors to help us along the way. Our florist, Ode and Bastille, and our wedding planner Nicole from NK Productions exceeded expectations when bringing our Italian Art Museum-themed wedding to life in Sarasota, Florida.

But for those of you brides-to-be just beginning the planning process, I wanted to share how I organized my personal inspiration as a bride. When I first met with our florist and planner, I came prepared with a clear vision to communicate with this Mood Board below made with Canva. Sharing my exact inspiration below to help you organize your thoughts, hope it helps in some small way. I know we all have Pinterest boards, but I didn’t find it as organized to share a bunch of Pinterest board links.

My Wedding Planning Mood Board

Below you will find the exact powerpoint I made on Canva with one of their templates. I organized each page by location or task on my checklist to give a clear direction for our florist and planner.

The wedding timeline below is a tentative one that I typed up, but our planner created a much more exact one that we use on our wedding day. I think I spent the first three months of our engagement editing this mood board and thinking through what we actually wanted. So take your time when putting your Wedding Mood Board together, no need to rush.

And once I felt like it had all of my thoughts and inspiration neatly organized, I then saved the document as a PDF file and emailed it to our vendors that were in charge of design, like our planner and florist. It was a wonderful way to get everyone on the same page, espcially since they hadn’t worked together before!

Another wedding tip!

If you are into social media like I am, 😉 before your wedding day type up a full list of your wedding vendors and their Instagram Handles in the notes of your phone to make it easy to access. Just in case you have a bridesmaid or a cousin who asks if they can tag them, you can just copy & paste the list in a text to them. Or if you are planning on posting the day of your wedding, it is always a nice thank you to your vendors to tag them on social media and let them enjoy thier hard work.
